Open Position: CAIM Center Coordinator

We are looking for a full time center coordinator for the Comprehensive Center for Artificial Intelligence in Medicine

The Comprehensive Center of Artificial Intelligence in Medicine (CAIM) is a new, cross-sectional research center of Medical University of Vienna performing transformative cutting-edge research at the intersection of AI and medicine. CAIM connects research groups across the university`s departments ranging from surgery, anesthesiology, dermatology, medical imaging, pathology, data science, molecular biology, neurology and many others (https://caim.meduniwien.ac.at). CAIM`s mission is to advance cutting edge AI in medicine to transform science and patient care. 

We seek a full-time (40hrs) Center Coordinator who will help building a collaborative culture and support the leadership and our currently 25 principal investigators (PIs) in implementing CAIM’s scientific mission. The role of the Center Coordinator involves the pro-active coordination of center activities in close collaboration with the PIs, grant management, communications, event coordination, and operational oversight, ensuring CAIM is a continually evolving vibrant and attractive place to perform research.

Key responsibilities

  • Executive management: Support the leadership and coordinate daily operations of CAIM, implement strategic plans to advance the center’s mission, manage relationships with internal stakeholders including scientists, clinicians, university operations, and external partners such as research institutions, or industry. 
  • Communications and external visibility: Develop and publish content for the center’s website, social media, newsletters and press releases, monitor analytics to refine messaging , and build relationships with media and industry partners, organize scientific and general public eventsCommunity building and event management: Support training and mentoring of junior personnel, plan and manage seminars, workshops and symposia, external visitors, internal knowledge transfer events.  Design and maintain an engaging schedule of high-profile talks and visitors, encourage cross‑disciplinary networking, and oversee event budgets and feedback.
  • Continual center development: Support the leadership and executive board of CAIM to develop and implement the strategy, vision and mission of the center 
  • Support grant development: Coordinate and support pre‑award planning, advise investigators on funding and consortia opportunities, advise PIs in the preparation of proposals, maintain grant databases and a grant pipeline tracker.  Act as liaison with spin-offs, funders and university administration, contribute to roadmaps for the development of the center.

Candidate profile

  • University degree in a relevant STEM field, science management, or business administration
  • Proven experience in research management or scientific coordination. Experience with grant writing and post‑award management is highly valued.
  • Exceptional communication skills – proven ability to create web and social media content, tailor messages to diverse audiences, and manage digital channels. You will translate AI concepts into engaging content for diverse audiences
  • Event and project management experience, with competence in organizing seminars and events. 
  • Experience with content‑creation tools and data analytics is a plus.
  • Interpersonal skills – ability to coordinate staff and students, manage multiple priorities, and cultivate partnerships.  Fluency in English.
